ICE's initial ask was a single-purpose registration and payment page for one marathon event.
ICE is a Chennai Section 8 non-profit with five service pillars — built environment, energy, agriculture, waste, water — a flagship million-tree initiative called ROOTS, and a 2029 goal horizon. The organisation runs a recurring calendar of marathons, walkathons, and tree drives. Building the marathon page in isolation would have meant commissioning a new site for every future campaign — recurring cost on plumbing, and no shared donor record across them.
BITS proposed a different scope: a single platform designed to host every project and event ICE would run between now and 2029.

Capabilities per project on one axis. Additional projects, events and supporter types on the other. Both share one data layer and one source of truth.
- Donations with full audit trailEvery payment recorded against the project and the event that drove it, with the gateway's reconciliation receipts retained on the row.
- Automated 80G tax certificatesOn donation clearance, a numbered PDF receipt is generated (format ICE/80G/2025-26/0007), emailed to the donor, and stored for re-download. The finance team never opens a Word template.
- Referral programme + public leaderboardDonors get codes, refer friends, and watch their points climb on a public board. Points economics can change without invalidating historical rankings.
- Self-serve adminTwelve sections — stats, registrations, donations, certificates, leaderboard, share-leads, broadcast, projects, events, org settings, users. Excel export on every list.
- Broadcast composerPush and email to filtered audiences — by project, event, donor type, opt-in. Live audience-size preview before sending.
- Multi-projectROOTS and ZOO are first-class projects today. New projects spin up from the admin without a deploy. Each has its own vision, mission, banner, and ongoing accomplishments.
- Multi-eventMarathons, walkathons, cyclothons — each with its own registration page, optional fee, and per-event report comparing amount raised to event cost.
- Multi-supporterDonor, registrant, referrer, share-led prospect — different supporter types share one donor record. Cross-campaign attribution stays intact.
- Soft lead captureA stranger landing from a WhatsApp share takes a one-field opt-in. Full UTM attribution captured; the admin can broadcast to them later.
✱ Architecture: an Angular single-page application for donor and admin surfaces, a Node API behind a LiteSpeed proxy on Hostinger, and Razorpay for payments. Other stack detail is kept out of public copy at the client's request.
The proposed trade: same effort and same delivery timeline as the single-event scope, but the result is a foundation that hosts every future ICE campaign instead of one event-specific microsite.
ICE approved the platform scope. The original marathon ran on the platform; subsequent events have also run on it. BITS' role on the engagement is product partner, not vendor-to-spec — the reframe from single-event scope to platform scope was the recommendation.
